Whether it’s a customer day with external guests, a regional partner event, or an annual employee event – for many medium-sized companies, events are an integral part of marketing and communication. And every time, the workload is significant: manual invitations via Outlook, responses coming in through email and phone calls, cumbersome guest lists managed in Excel. Each phase runs through a different channel – and it’s easy to lose track.

A successful event begins with a clear and well-thought-out communication process. When the individual steps build on each other seamlessly, you maintain an overview and reach your guests at the right time with the right content. This turns many individual measures into a coherent process – one that not only appears professional, but is also easy to implement in practice.

This guide walks you through the five phases of an optimal communication process – clearly illustrated using a fictional event: an Innovation Day at a company. What matters in each phase? Phase 1 – Save the Date

In this phase, one thing matters above all: communicate early! If you send invitations too late, you risk competing with already full calendars. That is exactly the biggest challenge. Detailed content or a fully developed agenda is not yet necessary at this stage. The date, location, and perhaps a short event slogan are enough to secure a spot in your guests’ calendars.

Ideally, the save-the-date message should already reflect your look and feel. This creates an initial emotional connection, sparks curiosity about what’s to come, and shows the importance of the event for your company.

For an Innovation Day, for example: the date, the venue, and a short slogan such as “Thinking Innovation Together.” At this stage, that is all you need.

Phase 2 – Invitation

The invitation

The invitation eCard is the central step in the process. It communicates all relevant event information and motivates recipients to register. One thing is especially important here: registration must be as simple and seamless as possible – because every obstacle costs participants. Instead of collecting responses through scattered emails and manually transferring them into lists, all replies are captured directly and centrally in the guest list via an integrated form.

Many event managers also face the challenge of managing accompanying persons efficiently and without additional effort. If accompanying guests are allowed, this can be mapped directly within the form – as an optional additional field where guests can easily add their companion(s). This allows names, dietary preferences, and other details to be collected automatically. All participants – whether the main guest or accompanying person – are then listed individually in the guest list, completely without manual follow-up work.

In general, there are two approaches, which can also be combined depending on the type of event:

Form with acceptance and decline options

Ideal for personal invitations where you want to know exactly who will attend – and who will decline. All responses are automatically added to the guest list. Recommended for customer events and partner events.

Open form

Registration only, without an explicit decline option – ideal for open target groups or general invitation links, for example for trade fairs or open workshops.

A well-timed reminder shortly before the event ensures that registrations actually turn into attendance.

PRO TIP:

Phase 4 – Follow-up / Review

It is also worthwhile to send a separate eCard to guests who confirmed but did not attend: show them what they missed – in a positive, non-reproachful way. Important: send it 1–3 days after the event, while impressions are still fresh.
